Student Records Archiving - The Highs and the Lows

Abstract:

The introduction of GDPR legislation in 2018 prompted many institutes to investigate the volume of student and applicant data held in student record systems. In response to this the University of St Andrews revisited the student record retention policy and undertook a cleansing exercise to delete as much of this data as possible. This presentation will discuss issues with the terminology used across the sector, the practical approaches to archiving and describe the chosen methodology, as well as the governance structure that would allow ongoing business as usual requests, such as student verifications and documentation production, while complying with data protection legislation.
